Full Time/Part Time: Possible shifts include Mon-Fri 9-5 pm, 10-6 pm or 12-8 pm, and one weekend day 9-2 pm

Job Summary

  • Explain various health services and products to patients/clients in a confident and reassuring manner.
  • Guide and introduce patients to receive health team services based on medical and preventative needs.
  • Provide an excellent client service experience while offering reception, administrative, and assistance to the interprofessional team and patients in a caring, compassionate, tactful, confidential, efficient and supportive manner.
  • Administrative support and service explanation for primary health care, mental health and rehabilitation health practitioners and patients.
  • Solicit constructive feedback from patients and clients.
  • Take on additional initiatives that contribute to the growth of the health team. 

Duties and Responsibilities

  • Understand all health services and products the health team offers. Be able to knowledgeably present, educate, and promote products and services to clients.
  • Greet and register clients seeking medical attention in person, telephone, or online, including booking and retrieving patient charts according to established policies and procedures.
  • Perform various medical office administrative tasks such as faxing, scanning, ordering, documenting, working with AI tools, and stocking.
  • Adhere to privacy, confidentiality, and infection control policies.
  • Maintain accurate and confidential patient records in the EMR system.
  • Prepare billings, invoices, receive and process payments for OHIP, WSIB, non-OHIP and other third parties as required and according to established policies and procedures.
  • Reconcile accounts payable/receivables, and produce summaries, day sheets, and financial statements on a regular and timely basis.
  • Assist in minor procedures.
  • Keep the health team centre clean and tidy daily. Weekly light cleaning and inventory stocking.

      

Education and Qualifications

  • Eligible to legally work in Ontario.
  • High school graduate; post-secondary education in university/college in life science or health related field or marketing; or a diploma in medical office assistant preferred.
  • Understand and appropriate use of medical terminology.
  • Strong communication, promotion, education, and presentation skills
  • Previous experience in a medical practice environment is preferred.
  • Knowledge and ability to navigate the healthcare system for clients seeking care in a primary care setting.
  • Strong interest in mental health and rehabilitation health services.
  • Background or knowledge in the field of psychology/counselling an asset.
  • Ability to multitask, be organized, be meticulous, and be able to work in a fast paced environment with precision, efficiency and speed.
  • Proficiency in computer skills (desktop, and mobile devices; Windows, word processing, spreadsheets, Google Apps, typing, scanning, email, chat, web interfaces, mobile apps, mail merge and the use of AI tools).
  • Typing skill: Minimum 40 words per minute, 200 characters per minute.
  • Proficiency in a second language such as Mandarin, Cantonese, Korean, Farsi, Tagalog, and Spanish is a strong asset.
  • Previous experience with Oscar EMR is an asset.
  • Knowledge and understanding of electronic/computer privacy and security issues.
  • Knowledge of OHIP, WSIB, IFH, extended health insurance and other third party billings is an asset.
